Hi Kiddo

Using the app as a teacher

Take attendance, log meals, naps and activities, share photos, send daily reports and chat with families from your phone.

Getting the app

When your center adds you to the team, you receive an email with your email address and a password. Install the Hi Kiddo app, type your Email Address and Password, and tap Sign In. If you forget your password, tap Forgot password? on the sign-in screen and follow the 6-digit code sent by email. To choose your own password, go to Profile and tap Change Password. See Profile and account.

You only see the children of the classrooms you are assigned to. If a child is missing, ask your director to check your classrooms (see Classrooms).

Finding your way around

The bar at the bottom of the screen has six tabs: Home, Classes, Log, Messages, Calendar and Profile. On a phone they show as icons; press and hold one to see its name. A red number on Messages counts your unread messages.

Your Home screen

  • Your greeting, today's date and the notifications bell.
  • An attendance card, for example "12 of 15 arrived" and how many are still expected. Tap Take attendance to open the Log tab.
  • When parents have written to you, a banner such as "2 unread messages". Tap it to reply.
  • Log a moment to record meals, naps and activities, and Share Photos to upload photos for parents.
  • Coming up: the next events in the calendar.

How to take attendance

Open the Log tab. The Attendance screen shows today's children and how many have arrived. Use the chips All, Not arrived, Here, Absent and Gone home to filter, and Search children… to find someone. The button at the top right switches between Grid, List and Swipe views.

Check a child in

  1. Tap Check In on the child's card. In List view you can also swipe the row to the right.
  2. Check the sheet: the arrival time (now), any Health alert with allergies or medical notes, and an optional Note for the team (optional).
  3. Tap Confirm check-in.

The family is told their child arrived. If you made a mistake, tap Undo in the message that appears; the family receives a correction.

Check a child out

  1. Tap Check Out on a child who is here.
  2. Under Who's picking up?, tap the person collecting the child. Only hand the child over to someone on this list, and ask for ID if you don't know them. See Pickup authorizations.
  3. Tap Confirm check-out. The family is told who picked their child up and when.

Mark a child absent

Tap Absent on the child's card, or in List view swipe the row to the left. The family is notified. Tap Undo if it was a mistake: the child goes back to not arrived and the family receives a correction.

Swipe view

In Swipe view the children come one by one: swipe right if present, left if absent, or use the Absent and Present buttons. Undo takes back the last choice.

How to log activities

  1. On Home, tap Log a moment. You can also tap Activity on a child's card in the Log tab, or a tile on the child's page.
  2. Pick the children: tap Everyone, or tap each child.
  3. Choose the Activity type, such as Meal, Nap, Diaper, Learning, Outdoor, Arts & crafts or Free play.
  4. Answer the extra question if there is one: Which meal? for meals, How was it? for changes, or Fell asleep and Woke up for naps (leave Still sleeping if the child is still asleep).
  5. Add a Description if you like, check the Time of the activity, and tap Add.

Each entry appears on the family's Home screen and sends them a notification. To remove an entry, open the child's page, swipe the entry to the left and confirm Delete. The list of activity types is set by your center (see Activity types).

A child's page

Tap a child in the Log tab, or in Classes (choose a classroom, then the child). The page has two tabs:

  • Today: tiles to log a moment, the Check In or Check Out button, a Photo button, and everything recorded today.
  • Profile: Basic Information, Medical Information, and the Emergency Contact with Call and WhatsApp buttons. Below are links to the child's Reports, Gallery and Attendance history.

How to send the daily report

  1. On the child's page, tap Send to parents at the bottom.
  2. In Send today's report, choose how the day went: Happy, Calm, Sad, Tired or Excited.
  3. Write A few words for the family.
  4. Tap Send to parents.

The family gets "Emma's daily report is ready" with the day's activities and photos. If you already sent today's report, the sheet opens with it filled in, and sending again updates it. See Daily reports.

Photos

Tap Share Photos on Home, or Photo on a child's page, to share a photo with the family. See Photo gallery.

Calendar

The Calendar tab shows the center's events and closed days. Tap a day, then an event, to see its Event Details and answer Attending, Maybe or Decline. Events are created by your director (see Calendar events).

Messages

Use Messages to chat with parents and with your director. See Messaging.

Incidents

Incident reports are written on the Hi Kiddo website, not in the app. See Incidents.

Notifications

The bell on Home (or Profile, then Notifications) lists your notifications: new messages and announcements from your center. Tap one to open it, or Mark all read.

Your profile

In Profile you can tap the camera icon on your photo to change it, and find Change Password, Language (English, Français, العربية, Español), Biometric Login, Center info, Documents, Report a Bug and Sign Out.

Troubleshooting

  • "Already checked in — undo first": the child was already checked in. Undo the check-in before marking them absent.
  • "No children assigned to your classrooms.": you are not assigned to a classroom yet. Ask your director.
  • "No authorized pickups on file" when checking out: check with the office before releasing the child.
  • No Messages tab: your center has turned messaging off.
  • A message says the center's access to Hi Kiddo is suspended: you can't sign in until it is restored. Contact your director.

Your nursery deserves better than a WhatsApp group.
